This Privacy Policy explains how Mirae Media LLP ("LinkMosaic," "we," "us," or "our"), operating under the trade name LinkMosaic, collects, uses, discloses, and protects information when you visit linkmosaic.co (the "Site"), engage us as a client, or interact with us as a publisher, partner, or prospect.

Mirae Media LLP is registered in India (GST No. 04ACFFM3380A1ZQ), with its registered office at Second Floor, SCO 364-365-366, Sector 34A, Sector 34, Chandigarh, 160022, India.

We serve clients and engage publishers across multiple countries, including the United States, United Kingdom, and European Union. This policy is written to meet our obligations under India's Digital Personal Data Protection Act, 2023, as well as the UK and EU General Data Protection Regulation and the California Consumer Privacy Act, where applicable to our processing activities.

1. Who This Policy Applies To

This policy covers three categories of individuals:

  • Site visitors: who browse linkmosaic.co, whether or not they ever become a client
  • Clients and prospective clients: including individuals we communicate with at B2B SaaS, eCommerce, and agency companies during outreach, onboarding, and service delivery
  • Publishers and their representatives: including editors, site owners, and content managers we contact regarding link placements

2. Information We Collect

Information you give us directly

  • Name, business email address, company name, job title, and phone number, when you fill out a contact form, book a call, or respond to outreach
  • Billing name, business address, and invoice details, when you become a client
  • Content of communications you send us, whether by email, LinkedIn, contact form, or through our client portal

Information collected automatically

  • IP address, browser type, device information, pages visited, and referring website, collected through Google Analytics and Google Tag Manager
  • Interaction data collected through Microsoft Clarity, LinkedIn Insight Tag, and Meta Pixel, used to understand site engagement and measure advertising performance
  • Cookie data, as described in our separate Cookie Policy

Information we collect about publishers and prospects during outreach

  • Publicly available or professionally sourced contact details (name, business email, company, role), gathered through LinkedIn Sales Navigator and outreach tools including Instantly and Lemlist, for the purpose of pitching link placement or partnership opportunities
  • Records of outreach history and responses, stored in our CRM (HubSpot) and internal tracking sheets

Information we do not collect

  • We never collect or store payment card numbers, bank account credentials, or full financial account details. All payments are processed directly by our payment partners, described in Section 5.

3. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and provide quotes for our link building services
  • Onboard clients, deliver services, and manage the 12-month placement monitoring period
  • Send invoices and maintain financial records required for tax and regulatory compliance
  • Conduct outreach to publishers and prospective clients regarding partnership and placement opportunities
  • Operate and improve linkmosaic.co, including understanding how visitors use the Site
  • Send service updates, placement reports, and, where you have not opted out, occasional marketing communications
  • Comply with legal, tax, and regulatory obligations under Indian law

4. Legal Basis for Processing (EU/UK Visitors and Contacts)

Where the UK or EU GDPR applies to our processing of your personal data, we rely on the following legal bases:

  • Legitimate interests: for B2B outreach to publishers and prospective clients where the communication is relevant to your professional role, and for Site analytics and security
  • Contract performance: for processing necessary to deliver services to clients
  • Consent: for non-essential cookies and, where required, marketing communications
  • Legal obligation: for record-keeping required by Indian tax and corporate law

5. How We Share Your Information

We do not sell, rent, or trade your personal information. We share information only with the following categories of service providers, each of whom is contractually required to protect your data and use it only for the purpose we specify:

  • Payment processors: PayPal, Payoneer, Skydo, Wise, Stripe, and Razorpay, and direct bank transfer for processing client payments and vendor payouts. None of these providers share raw card or account credentials back to us.
  • CRM and outreach tools: HubSpot, Instantly, Lemlist, LinkedIn Sales Navigator, and internal Google Sheets, for managing client and publisher relationships
  • Project and service delivery platforms: NiftyPM (internal project management) and Agency Handy (client-facing service portal)
  • Reporting and analytics: Looker Studio (client placement dashboards), Google Analytics, Google Tag Manager, Microsoft Clarity, LinkedIn Insight Tag, and Meta Pixel
  • Professional advisors: accountants, auditors, and legal counsel, where necessary for compliance
  • Legal and regulatory authorities: where required by applicable law, court order, or to protect our legal rights

We may add additional service providers over time as our tooling evolves. We will update this policy to reflect material changes.

6. International Data Transfers

Because we operate from India and serve clients and publishers in the United States, United Kingdom, and European Union, your information may be transferred to, stored, and processed in India and other countries where our service providers operate. Where we transfer personal data out of the EU or UK, we rely on appropriate safeguards, including standard contractual clauses, to the extent required by applicable law.

7. Cookies

Our Site uses cookies and similar tracking technologies to operate the Site and understand how visitors use it. By continuing to browse or use linkmosaic.co, you agree to our placement of cookies as described in this policy. You can manage or disable cookies at any time through your browser settings. 8. Data Retention

  • Client and billing records: including invoices and transaction history, are retained for a minimum of five years from the end of the engagement, in accordance with Indian tax and audit requirements.
  • Placement monitoring data: is retained for the 12-month active monitoring period, plus the record-retention period above for billing purposes.
  • Outreach and CRM records: for publishers and prospects who do not become clients are retained for as long as reasonably necessary for legitimate business purposes, or until you request deletion.
  • Website analytics data: is retained according to the default retention settings of the relevant analytics tool, unless you request earlier deletion where applicable.

9. Your Privacy Rights

If you are located in the European Union or United Kingdom, you have the right to access, correct, delete, or restrict our processing of your personal data, to object to processing based on legitimate interests, and to data portability. You also have the right to lodge a complaint with your local data protection authority.

If you are a California resident, you have the right to know what personal information we collect, to request deletion, and to opt out of the sale or sharing of personal information. LinkMosaic does not sell personal information.

If you are located in India, you have rights under the Digital Personal Data Protection Act, 2023, including the right to access, correct, and request erasure of your personal data, and to withdraw consent where processing is based on consent.

10. Marketing and Outreach Communications

When we contact publishers or prospective clients by email or LinkedIn regarding placement opportunities or our services, we do so on the basis of legitimate business interest in a B2B context. Every marketing email we send includes a clear way to opt out of future communications. You can also unsubscribe at any time by emailing support@linkmosaic.co. Opting out of marketing communications does not affect service-related communications for active clients.

11. Data Security

We use reasonable administrative, technical, and organizational measures to protect the personal information we hold, including restricting access to client and payment records to authorized personnel and relying on established third-party providers for payment processing so that we never store card or bank credentials ourselves. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Children's Privacy

LinkMosaic provides business-to-business services only. Our Site and services are not directed at, and we do not knowingly collect personal information from, anyone under the age of 18. If we become aware that we have inadvertently collected information from a minor, we will delete it.

13. Third-Party Links

Our Site and our placements may contain links to third-party websites, including publisher sites where client links are placed. We are not responsible for the privacy practices or content of those third-party sites. We encourage you to review the privacy policy of any site you visit.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, tools, or legal obligations. We will revise the "Last Updated" date at the top of this page when we do. Significant changes will be communicated to active clients directly.
